GUIDELINES FOR ABSTRACT SUBMISSION


Oral Free Papers and Interactive Posters represent a relevant part of the scientific program of the Conference, allowing participants to share the results of their studies and research with the extended community of OH experts. There will be opportunities for the best paper and poster presenters to win awards and grants. Accepted abstracts for oral and poster sessions will be published in an online supplement of EPICOH’s official journal Occupational and Environmental Medicine (OEM), a peer-reviewed international journal published by BMJ. OEM publishes high quality research relating to hazards in the workplace and to environmental contaminants and their health effects.

EPICOH 2023 will be a high-level experience in terms of scientific content and interaction, with networking and engagement opportunities. The Conference will accommodate all sessions and main events. The Website will ensure a 24-hour access to the scientific content throughout the Conference and beyond.

The theme for EPICOH 2023 is Occupational Health Epidemiology: Need for Concerted Action. We welcome abstracts on research related to workplace exposures and associated health outcomes, workplace health interventions and its impact on health and occupational health research Methodology. Epidemiologists, Occupational exposure scientists, Occupational physicians & nurses, Academicians, Researchers and Students in the field of Occupational Health are welcome to submit their research during the conference.

The major subthemes are:

  • Occupational Cancer Epidemiology
  • Occupational epidemiology of pulmonary diseases
  • Occupational epidemiology in Unorganised sectors: Agriculture, Construction, Service Sectors
  • Workplace Health Protection
  • Role in understanding the complex interplay between ill health and work

1. RULES FOR ABSTRACT SUBMISSION – (ORAL FREE PAPERS AND INTERACTIVE POSTERS)


Oral Papers and Interactive Posters are for brief presentations on studies, investigations, or observations in occupational epidemiology, occupational health, and environment, and represent a vital component of the Scientific Program of EPICOH 2023.

Abstracts accepted as Oral Paper will be for a presentation of 8-10 minutes. Instructions will be given in the letter of acceptance.

Abstracts accepted as Posters will be for Posters to be placed in a dedicated area at the Conference venue. Instructions on preparation and how to upload will be given in the letter of acceptance.

All abstracts must be submitted online, exclusively through the EPICOH 2023 Congress website, on the “Submit Your Abstract” page. Please follow all the steps and make sure to carefully complete all sections. If all sections are not completed, your abstract submission will NOT be accepted.

When submitting their abstract:

a) Authors are required to indicate their preferred type of presentation by selecting either ORAL or POSTER from the dropdown menu in the submission web page. However, the reviewer panel will make the final decision on the type of presentation (i.e., oral or poster).

b) Acceptance or rejection of abstracts will be based on rankings given by a peer review of experts in the associated topic/category. Results of the selection process will be sent via e-mail to the corresponding author. The Committee decision is final and cannot be appealed.

c) Authors should ensure not to submit an abstract which is identical - in the whole or part - to any abstract that has previously been published or presented at a major international meeting prior to EPICOH 2023. An update to a prior study is acceptable.

d) Instructions on the preparation of oral presentations and interactive posters will be included with the notification of acceptance.

e) Submission of an abstract indicates:

  1. that the author(s) agree to comply with the abstract submission and presentation rules.
  2. that the presentation is based on scientific and/or clinical methods that are ethical and valid.
  3. that all authors have contributed to and approve the abstract and its entire contents.

f) All accepted abstracts will be published in an online supplement of EPICOH’s official journal Occupational and Environmental Medicine (OEM).

g) Accepted abstracts are official contributions to the scientific program of EPICOH 2023. The presenting author agrees to register, to attend the Conference, and to present the abstract as scheduled. To ensure inclusion of the presentation digitally in the final official program of the Conference and the publication of the abstract in the online supplement of OEM, the presenting author must register for the EPICOH 2023 by 31 January 2023. Until this deadline, the early bird registration remains on offer.

h) The evaluation and scoring of the abstract (acceptance as interactive poster or as oral presentation, or rejection) will be made according to a number of criteria, including relevance and importance of the content to occupational health and scientific quality.

i) Once abstract is accepted & published in the online supplement of OEM, the author(s) should take consent from EPICOH / IAOH before publishing elsewhere

2. INSTRUCTIONS FOR ABSTRACT PREPARATION


a) The official language of the Congress is English. Abstracts must be written and presented in English. Abstracts that are not written in understandable English will be rejected and/or returned to the author(s) for revision

b) Title, each author’s name, each author’s affiliation, presenting author and the body of abstract must be provided by completing the online form. Please note that the abstract submission form provides for strict length limits for both the title and the body of the abstract.

  • Title: Use a concise descriptive title of no more than 20 words that summarizes the content of the abstract. Please minimize the use of abbreviations in the title. Commercial trade names for drugs, devices, products, and services should NOT be used in the title.
  • Body of Abstract: overall, the body of abstract must not be longer than 300 words. The abstract must include the following sections: Introduction, Material and Methods, Results and Conclusions. These subheadings must be written in bold and are included in the overall characters count.
  • The online submission form will automatically not allow submissions that do not fit this requirement.
  • Use standard abbreviations only. Within the body of the abstract, when using abbreviations spell out the name in full at the first mention and follow with the abbreviation in parenthesis.
  • Abbreviations may be used in the title, provided the name in full is outlined in the body of the abstract.
  • It is NOT satisfactory to simply state that “The results will be discussed.”
  • Only common and standard abbreviations may be used without definition.
  • NO REFERENCES, TABLES, FIGURES, CHARTS OR IMAGES ARE ALLOWED

c) Check spelling and grammar carefully. Direct reproduction from your electronically submitted abstract text means that any errors in spelling, grammar or scientific data will be reproduced as submitted and published in OEM.

d) Drugs, devices, products, and services should be identified by generic name only within the abstract. The use of commercial drug names, brands and registered trademarks are strictly prohibited. No mention of pharmaceutical company names should be included in the abstract.

e) Data must be given in units (International metric system is preferred) that are generally accepted in scientific publications.

f) All co-authors must agree with the submitted results and conclusions, and consent to being listed as authors.

g) Authors must specifically declare any conflict of interest or mention no conflict of interest.

h) Funding sources related to the work should be mentioned. When answering this question, you will be required to list all funding sources.

i) Research involving humans or animals, or material derived from them must have been approved by an institutional ethics committee and this approval needs to be explicit in the abstract.

3. ABSTRACT TOPICS


For reviewing and scheduling purposes, abstracts will be classified into thematic areas. Only 1 thematic category may be chosen for each abstract

Authors are invited to check the topics on the Call for Abstract page of the EPICOH 2023 Website and to select the preferred topic from the dropdown menu in the abstract submission system.

The reviewer panel will attempt to respect the authors’ choice regarding their self-selection to a specific topic but reserves the right to change the allocation in order to achieve a well-balanced scientific program.

4. IMPORTANT DEADLINES


Online Abstract Submission will be available on the Congress website until 10th December 2022.

Your abstract submission will be acknowledged automatically by email, but this confirmation does not constitute official acceptance for presentation.

Official acceptance of your abstract and the form of presentation (oral or interactive poster) will be notified to you 30 days from the Abstract Submission deadline.

To ensure inclusion of the presentation digitally in the final official program of the Congress and the publication of the abstract in the online supplement of EPICOH’s official journal Occupational and Environmental Medicine (OEM), the presenting author must register for EPICOH 2023 by 31 January 2023. Until this deadline, the early bird registration remains on offer.

Authors who wish to withdraw their abstract must send a written request to info@epicoh2023.in
